2010 Meeting Plans & Suggestions

Thank you for putting together a great recap of our activity and direction for 2010. I aggree with all that you have said. I really enjoyed the last meeting (1/4/10). It felt like we had come full circle back to what Caralee and I did every Monday. We got together with a topic in mind and we gave one another suggestions and ideas and we explored ways to make our businesses better.

With regard to the money I think Caralee has a wonderful idea and I will set about implementing it. For those of you that are accounting and/or bookeeping types (you know who you are), I think this will be a simple elegant solution. On the about us page we will have a brief intro about the group followed by links advertising and information about each of the "supporting" members. This will be an advertising expense to those contributing and will avoid collecting and accouting for money at meetings or creating some kind of due which I have always been agains. Look for this "about us" page and ads from Sundog Consulting and Vanguard to appear soon as an example. If you would like to advertise that would be great if not that's ok too it is strictly voluntary. The store will also continue to be on the site so if you buy goods from amazon and get to amazon through our store we will get a tiny percentage.

I think the twice monthly meeting are going to work well. This will allow us to get through 10-12 common areas of business development (similar to the main sections of a business plan) every 6 months then cycle through it again. This sort of ties in with the revolving "generator" if you have clever ideas for naming forums or playing off of this generator idea please feel free to make suggestions.

In regard to time everyone needs to show up a bit early if they want to order food and/or drinks. Since we are starting at 11:00 maybe by showing up at 10:45 or so, as Karen suggested, will allow us to beat the lunch crowd. If we grow I would lean toward adding more time than limiting our discussions. This was evident at our last meeting. I would not have wanted to cut anyone's time short for giving their ideas and getting feedback. However, that being said we do need to have an agenda and become more organized with our time. This aspect I'm sure will evolve.

#3 -Like either option – people will realize they will miss some of the meeting if they arrive and then leave to order.  Just remind them to come at 11:45 to place any orders they might have.

After several months of meeting we are considering the following just to keep things simple and going forward. We would like your input.


1)      Drinks & Food – For those of you who have been with the group for a while, you will notice that the Flying Star Catering Menu has been dropped from the website.

We started off thinking it would be great to have lunch waiting, but the reality was that you had to remember to login on Friday and make your lunch choice for Monday!

Furthermore, some of us like menu items that are not offered on the catering menu, and some of us skip lunch, and some of us…you get the picture.

We have continued to have coffee & soda in the room. While the expense is not great ($3.95 per person), much like food there are those of us that prefer herbal teas or E-Tea or Iced Tea so we are considering dropping this as well. It is nice to have the coffee and soda, but it would simplify expenses if we had the room only and anyone wishing to have food and/or drink just placed their order on the way into the meeting.

2)      Meetings – Meeting times have also changed since we started. We are now meeting on the 1st and 3rd Monday of each month from 11:00a.m. – 12:00pm. The cost of the room only is $30 per meeting. This is currently being sponsored by Vanguard Technology Corp (Tanda) and Sun Dog Consulting (Caralee) as well as several other members who have pitched in (James, David, Dan, who am I forgetting?).  We are thinking we should add a Members tab to the website or may even redo the current "History" tab and call it "About Us" and just have a little blurb about the history followed by Sponsoring Members Names and Links, Contact Info, Directions etc.  I am proposing $10 per month for a link on this page to your business as well as your name and address etc. With 6 links per month we would cover our room costs and be able to continue to have our meetings open and without fees, dues, membership requirements etc. It would simply be an sponsorship/advertising cost to those who choose to have a link on the website. Hopefully, we will get more than this and be able to reimburse Tanda for all the time she has spent developing this website and hosting it. What are your thoughts?

3)      The Flying Star has been very gracious and most of the time we run over. Our typical meeting has been running 1.5 Hours. Should we lengthen our time frame? Especially if we agree on everyone getting their own drinks, food, etc? Or should we just remind everyone to come a little early if they are going to get something and try to stay with the hour?
